How the work runs

An engagement, end to end, and what carries each part of it.

Win it, scope it, deliver it, bill it, answer for it. One client record.

  1. Stage 1

    The opportunity

An enquiry or a referral becomes a deal on stages your firm named, with the fields your practice actually keeps.

    CRM
  2. Stage 2

    The scope and the fee

Scope and fee go out as an estimate. Accept it and the invoice is raised on the same client with the lines already on it.

    Finance
  3. Stage 3

    The delivery

The engagement sits on the client as tasks with owners and dates, with a timer and a timesheet against them.

    CRM
  4. Stage 4

    The client’s questions

Requests arrive with an owner and a response target, and the client follows their own without holding a licence.

    Support
  5. Stage 5

    The people on it

Employees and associates on one record each, with their documents, their onboarding and their time off.

    HR

One connected system

One client record, from opportunity to fee.

The proposal, the delivery and the invoice on one record, so the client’s history is one screen.

  1. 01

An accepted estimate becomes an invoice.

  2. 02

Requests and work sit on the client.

  3. 03

Free client seats, never a per-head bill.

The trade

The work is billable. The admin is not.

A CRM for the pipeline, a document for the scope, an invoicing tool at month end. Every handover is time nobody bills for.

Opportunities

Every enquiry, from first call to signed.

  • Custom pipeline stages, drag-and-drop deals, and a reminder when a close date comes up.
  • One record per person and company, carrying every message, invoice and request.
  • Log calls, schedule follow-ups, and get reminded so nothing slips.
  • Pipeline value and win rates live, without exporting to a spreadsheet.

Fees

Scope out, invoice back, on one record.

  • Build, send and track estimates that convert to invoices in a click.
  • Record a payment and the balance, the status and the client history update together.
  • Bill on a schedule, with templates that cut their own invoices when they are due.
  • Revenue, receivables aging and expenses, without exporting to a spreadsheet.

Client access

A portal your clients can see into.

  • Every request in one queue, assigned and prioritised, never quietly dropped.
  • Targets and timers that keep first response and resolution on track.
  • A portal where people submit and follow their own requests, free, never a seat.
  • Saved replies for the questions you answer every week.

One seat is all five, for the whole firm.

  • CRM, Finance, HR, Support, Inbox, on the same records and under one login.
  • Nothing above is an add-on, a module fee or a tier you have to reach.
  • Your customers in the support portal are free, and never count as seats.

How professional services firms run on Spodus.

Five jobs, five products, one seat.

  • Pipeline and clients on one record
  • Scope out, invoice back
  • A portal your clients can use
  • Time on the task, not on a form
  • What is open, what is due

You can be running an engagement on this inside a week.

Start with the part that costs the most time, bring the client list in, seat whoever signs in.

  1. 01

Start with the part that hurts

Contacts, companies and tasks are there from the first minute. Invoicing, the client portal and the people side switch on when you want them, and turning one on later brings back its screens with whatever is already in them.

  2. 02

    Bring the client list in

Contacts, companies and deals from a CSV or a spreadsheet, through a guided importer with presets for HubSpot, Pipedrive, Salesforce, Zoho, Asana, ClickUp and Trello. Your custom fields come with them and their stages are mapped onto yours.

  3. seatsfree
    03

Give seats to whoever signs in

Fee earners and admin take seats. Clients raising requests hold no account at all, however many of them there are.

Questions professional services firms ask.

Can I bill from the hours I track?
Not from the timesheet, and it is worth knowing before you buy. There is a timer and a weekly timesheet, and they will show hours against the estimate on a task and what share you marked billable. Those hours do not flow onto an invoice: you still write the amount yourself. There is no utilisation reporting.
Does it replace our accounting system?
No. Estimates, invoices, payments and statements live here on the same records as your clients, but there is no bank feed and no double-entry ledger, so your accountant keeps theirs.
Can I white-label the client portal?
Not yet. The portal runs on a Spodus URL and carries our badge. Custom domains and white-labelling are not built, and we would rather say so than have you promise it to a client.
Do clients pay for access?
No. Client and portal seats are always free. You only pay for people on your side doing the work.
Which kind of firm is this actually for?
Firms that sell expertise as engagements or retainers and bill for it: consultancies, advisory practices, agencies, technical services. If your revenue is per unit shipped rather than per engagement delivered, this is the wrong page.

Put the whole firm on one seat.
