Your Gmail, on the customer's record.

Connect your mailbox and the last ninety days of mail with a contact appear on their record, threaded, next to their deals and their invoices. Replies go out from your own address. It is an IMAP and SMTP connection rather than a Google sign-in, and Spodus writes nothing back to your mailbox.

What kind of connection
IMAP for reading and SMTP for sending, with the server, port, username and password you would give any mail client. There is no Connect with Google button for mail, and nothing else in your Google account is reachable.
How far back
Ninety days. Mail older than that is never fetched.
Which folders
Inbox and Sent to begin with. Other folders can be switched on one at a time.
How often it checks
About once a minute.
What gets stored
The message, and the name, type and size of each attachment. Attachment bytes are never fetched and never stored, so a file stays in your mailbox.
How mail reaches a record
By email address. Contacts, companies and deals carry the correspondence tab; other objects do not, and up to 200 messages show against one record.
Sending
From the record, over SMTP, from the address you connected. A sent message joins the thread once your Sent folder syncs back.
Whose mailbox
Each person connects their own, and the credentials are encrypted. There is no single shared account for the whole workspace.
What colleagues see
Set per mailbox: the whole message, the subject line only, or just who and when. Subject line only is the default, and the workspace owner sees everything.
What Spodus writes to your mailbox
Nothing at all. No flags, no read marks, nothing moved or filed. Delete a message in Gmail and it leaves Spodus at the next check.

Switching it on.

  1. 1In Gmail, make sure IMAP is turned on. An account with two-step verification needs a password issued for mail apps rather than the one you type into the website.
  2. 2In Spodus, open Settings, then Accounts, and choose Connect via IMAP/SMTP.
  3. 3Give it your address and that password, with Google's IMAP and SMTP servers.
  4. 4Choose what colleagues see on the record: whole messages, subject lines, or just who and when.

What connecting Gmail does not give you.

It does not sign you into Spodus with Google and it reaches nothing else in your Google account. It is not built on the Gmail API, so labels, filters and Google's own search stay where they are. Your Google Contacts are not imported, and no contact is ever created from an incoming message: somebody who emails you is not in your CRM until a person puts them there. Calendar is a separate connection and is not part of this one. Mail older than ninety days is never fetched, attachments arrive as a name and a size rather than a file, and Spodus writes nothing back to the mailbox at all.

Questions, answered.

Is this an official Gmail integration?
It is an IMAP and SMTP connection to your Gmail mailbox, which is the same pair of protocols every desktop mail client uses. There is no Connect with Google button for mail and Spodus does not use the Gmail API, so nothing in your Google account beyond that one mailbox is reachable.
Will my whole team read my email?
Only as much as you allow. Each connected mailbox carries one of three settings, chosen by the person who connected it: whole messages, subject lines only, or just who wrote and when. Subject lines only is the default. The workspace owner can see everything, which is worth knowing before you connect a personal address.
Does a reply sent from Spodus look different to the customer?
No. It goes out over SMTP from the mailbox you connected, so it arrives from your address in the ordinary way. It appears back on the record once your Sent folder is read on the next check, which is usually within a minute.
Can I connect a shared address like sales@?
Yes, if you have its IMAP and SMTP credentials, and it behaves like any other mailbox. It is still attached to your own user rather than to the workspace, and what your colleagues see is still whichever visibility setting you picked for it.
Why only ninety days?
That is the window the sync fetches, and it is a fixed number rather than a setting. It keeps a first connection quick and keeps a mailbox of many years out of a CRM that has no use for most of it. Older mail stays in Gmail, untouched.
