Email

Outlook mail, beside the deal it belongs to.

The same mailbox connection as every other provider: IMAP in, SMTP out, ninety days of correspondence matched to the contact by address. There is no Sign in with Microsoft for mail, so whether your account can be connected is a question for Microsoft and your administrator.

Correspondence on the record

Mail is matched to contacts, companies and deals by email address, threaded, and shown beside the invoices and tickets for the same customer.

Reply from the record

The composer sends over SMTP from the address you connected, and the message joins the thread once your Sent folder is read back.

Visibility you set yourself

Whole messages, subject lines only, or just who wrote and when. The person who connects the mailbox chooses, and subject lines only is the default.

What kind of connection
IMAP for reading and SMTP for sending, using the servers, ports and credentials Microsoft publishes for your account. Spodus has no Microsoft sign-in for mail and does not use Microsoft Graph to read it.
Whether your account qualifies
That is set by Microsoft and by your own administrator, not by Spodus. Basic authentication over IMAP and SMTP has been withdrawn from some Microsoft 365 tenants, and where it is off, this connection cannot be made.
How far back
Ninety days. Mail older than that is never fetched.
Which folders
Inbox and Sent to begin with. Other folders can be switched on one at a time.
How often it checks
About once a minute.
What gets stored
The message, and the name, type and size of each attachment. Attachment bytes are never fetched and never stored.
How mail reaches a record
By email address, on contacts, companies and deals. Other objects have no correspondence tab, and up to 200 messages show against one record.
Whose mailbox
Each person connects their own, and the credentials are encrypted. The workspace owner can see every connected mailbox's messages.
What Spodus writes to your mailbox
Nothing at all. No flags, no read marks, nothing filed or moved. Delete a message in Outlook and it leaves Spodus at the next check.

Switching it on.

  1. 1Check that IMAP and SMTP are permitted on your account. On a work account that is your administrator's decision, and on some Microsoft 365 tenants it is switched off.
  2. 2In Spodus, open Settings, then Accounts, and choose Connect via IMAP/SMTP.
  3. 3Give it your address and the credentials Microsoft issues for a mail client, with the servers it publishes for your account.
  4. 4Choose what colleagues see, then let the first ninety days sync in.

The parts of Outlook this does not touch.

It is not built on Microsoft Graph and it is not a Sign in with Microsoft flow, so it reaches one mailbox over IMAP and SMTP and nothing else in the account. Your Outlook contacts are not imported, and no contact is created automatically from an incoming message. Calendar is a separate connection and is not part of this one. Mail older than ninety days is never fetched and attachment files are never stored. And the honest one: if your organisation has turned off basic authentication for these protocols, which many Microsoft 365 tenants have, there is no other route in and Spodus cannot connect the mailbox at all.

Questions, answered.

Is there a Sign in with Microsoft button for mail?
No. The mail connection is IMAP and SMTP with credentials you supply. Spodus does not read mail through Microsoft Graph, so there is no Microsoft consent screen for it and no permissions to approve in your tenant.
Our tenant has basic authentication disabled. Can we still connect?
No, and we would rather say so plainly than have you find out after signing up. IMAP and SMTP are the only routes Spodus has to a mailbox. If your administrator has closed them, the correspondence tab stays empty and the rest of Spodus works exactly as it does for anyone else.
Which records show the correspondence?
Contacts, companies and deals. Mail is matched by email address, so a message reaches a record when one of its addresses is on that record. Tasks, invoices, tickets and the rest have no correspondence tab.
Can my colleagues read my mailbox?
Only to the level you set when you connect it: whole messages, subject lines only, or just who wrote and when. Subject lines only is the default. The workspace owner sees everything, which is worth knowing before connecting a personal address.
Does this sync my Outlook calendar too?
No. Calendar is a separate connection with its own set-up, and it is not switched on for new workspaces today. Connecting a mailbox brings mail and nothing else.
