Do I have to re-enter anything to turn a quote into an invoice?
No. Accepting a quote creates an invoice in finance with the same line items, quantities, and totals. You just send it.
Can a customer accept a quote online?
They can open and read it online, with no account and no seat, and reply however they normally would. Marking it Accepted is a step somebody on your team takes, and once it is accepted the quote converts to an invoice with the same lines.
Can I set quotes to expire?
You can put a valid-until date on it, and the customer sees it on the document as the date the price holds to. Spodus does not change the status when that date passes — marking a quote Expired is something you do, and you can reissue or extend it in a click.
Is a quote the same as an estimate or a quotation?
In Spodus, yes: one document type, kept on the Estimates board. Search terms like invoice and estimate software, estimate invoice, quotation invoice or invoice and quotation all describe the same flow, which is a priced document the customer reads and then an invoice with the same lines. Whatever you call it, the conversion is the same click.
Where does this fit a client onboarding process at an agency?
At the start. The client onboarding process agency teams run in Spodus is short: the quote is accepted, the invoice is raised with the same lines, and the client's company record already holds both. Add a board for the kickoff tasks, give each a due date, and the client can raise requests through the portal from day one. There is no onboarding template in the box; the checklist is tasks you create.
Can I bring quotes and invoices over from My Invoices and Estimates Deluxe or another tool?
No. Spodus does not import invoices or estimates from any tool, desktop or cloud, so past documents stay where they are. Contacts and companies come in from a CSV. New quotes and invoices are raised here from the first day, and the old ones stay in the old tool for reference, so keep read access to it if the history matters.
