Hand over a member's work
Move a leaver's open deals, tickets, tasks and projects to a teammate in one step, then remove them or transfer workspace ownership.
When someone leaves or goes on leave, hand their open work to a teammate in one step. Do this before you remove them from the workspace.
Before you start
- You need to be an owner or admin.
- Only the workspace owner can transfer ownership.
Things to know
- Only open work moves: open deals, tickets, tasks, projects and other records they own or are assigned. Finished work stays with them, with its history.
- Some things always stay with the person: logged hours, planned hours, their events, and the approvals they asked for or decide.
- Before anything moves, Spodus counts their open work, so you see exactly what will change.
- Each moved record's activity shows the change.
- Handing over can be undone by handing the work back.
Hand over their open work
- Open your account menu and click Settings.
- Under Workspace, click Members, then click the person.
- Under Work, click Hand over work….
- In Give to, choose the person who takes over.
- Untick any kind of work you want to leave with them. Every kind with open work starts ticked.
- Click Hand over.
A message says how much moved. If someone changed a record while you were doing this, that record stays as it was and the message says how many.
Remove the person
- On the person's page in Settings > Members, under Danger zone, click Remove.
- Click Remove to confirm.
They can no longer sign in. Their account is not deleted, their records keep their history, and you can invite them again.
Transfer ownership
If the person leaving is the owner, they hand the workspace to someone first.
- As the owner, go to Settings > Members and click the new owner.
- Under Danger zone, click Transfer ownership.
- Type the person's email address to confirm.
- Click Transfer ownership.
The new owner can change every role, manage billing and delete the workspace. You become an admin. You can't undo this yourself. Only the new owner can hand it back.
