Run a client project
Create a project for a client, set its dates, budget and billing, plan the work with tasks, log time against it and watch every project from one overview.
A project holds the work you do for a client: its tasks, milestones, time, files, notes and invoices. You find projects under CRM > Projects.
Things to know
- A project's Status is Planned, In progress, On hold or Completed.
- A project's Billing is Time and materials, Fixed fee or Retainer.
- Log time and the timer need the Time tracking module. New invoice and the Invoices tab need the Revenue module. See Turn modules on and off.
- When a deal is won and has no project yet, the deal's main button becomes Start project. It opens a new project filled in from the deal.
Create a project
- Go to CRM > Projects.
- Click New project.
- Fill in Name, and any of Company, Status, Owner, Start date, Due date and Budget.
- Click Create.
On the project page the company is shown as Client.
Set the timeline and budget
Open the project's full page: click the project in the list to open it at the side, then click Open full page at the top of the panel.
The left column always shows Client, Owner, Team, Start date, Due date, Budget, Deal and Billing. Click a value to change it.
Click Other under these fields for the rest, including:
- Hours sold: the hours the client bought. The Hours card shows hours used against this.
- Bill rate (per hour): the rate for this project's hours. Leave it empty to use each person's own bill rate.
- Contract: the retainer this project's work is billed against.
Plan the work
At the top of the project page:
- New task opens a new task already linked to the project. See Manage tasks.
- Timer times your work on the project.
- Log time adds hours you've already worked.
- More (the ⋯ icon) has Add note, New invoice, Change owner, Export and Delete….
The Overview tab shows the project's highlights, its Milestones and its open tasks. See Milestones.
Follow the project
The project's tabs are Overview, Tasks, Time, Files, Notes, Invoices and Activity. Tabs for other parts of Spodus you use, such as Milestones, Change quotes and Bookings, come after these.
The Time tab lists each entry logged on the project, with the hours logged and the hours still unbilled.
Watch all your projects
- Go to CRM > Projects.
- Click the Overview tab.
The overview counts projects that are Active, Over budget, Over hours and Due this week, and lists what needs attention, such as Overdue tasks. It also charts Hours by project and Logged vs billable.
