Import a spreadsheet
Bring records into Spodus from a CSV or Excel file, or rows you paste in. Map columns to fields, add new fields from your file, and skip duplicates.
Bring your records in from a spreadsheet or another CRM. Spodus reads CSV and Excel (.xlsx) files, or rows you paste in.
Before you start
- Export one file per board: for example contacts, companies and deals.
- You need permission to edit records on the board you import into.
- Older .xls files can't be read. Open the file in Excel and save it as .xlsx, or export a CSV.
Things to know
- Exports from Asana, ClickUp, HubSpot, Pipedrive, Salesforce, Trello and Zoho CRM are recognized, and their columns are matched for you.
- A column that matches no field isn't dropped. Spodus suggests a new field for it, with a type guessed from its values. You can change the type or choose (Don’t import).
- Duplicates are matched on the board's main field, such as a contact's name. They're not matched on email or domain.
- Skip duplicates is on by default. Rows that match a record already in the workspace, or an earlier row in the same file, are left out, and your existing records aren't changed.
- Rows with nothing in the main field are always skipped.
- Links to other records, like a contact's company, are matched by name. A row still imports if that company doesn't exist yet, and the preview tells you how many names don't match a record.
- A workbook imports one sheet. If it has more than one sheet with data, Spodus asks which one.
- Nothing is saved until you click Import on the last step.
Import a file
- Open the board, for example Contacts.
- Click the arrow beside the New contact button (Import or export), then click Import….
- Drop your CSV or Excel file on the upload box, or click it to choose one. You can also paste rows into the box below it.
- Click Continue.
- Check how columns map to fields. Columns from a known export are already matched.
- Under New fields from your file, keep, change or skip each suggested field.
- Click Continue.
- Check the preview. Leave Skip duplicates on unless you want every row.
- Click Import. The button shows how many rows will be imported, for example Import 120.
You can also start from Settings > Import. Click Import next to the board you want.
If any automations are set to run on new records for that board, the preview shows Run automations for these records. It's off by default, so an import doesn't run an automation for every row unless you choose to.
Check your import
- Compare the number of records with your file. A message tells you how many were imported and skipped.
- Open a few records and check the values and links.
- If something went wrong, delete the records. Deleted records go to Trash and stay there for 30 days.
