What clients see
See the page your client opens from a quote email: your branded quote, a PDF download, and the boxes to accept or decline, plus what happens next.
When you send a quote with the view link ticked, your client gets an email with a button to open it. The link opens a page with your quote on it. They don't need an account or a password.
The quote page
- The quote itself, with your logo, colour, layout and company details. See Invoice design.
- Download PDF, to keep a copy.
- A line telling them to reply to the email with questions. Replies go to you.
Accept or decline
While the quote is Sent and not past its expiry date, the page shows Accept this quote:
- To accept, the client types their name in Your full name and clicks Accept quote. Typing their name is their agreement.
- To decline, they open Not going ahead? and click Decline quote.
After they answer, the page thanks them and says you've been told. If they open the link again, it says the quote was already answered.
There is no button to ask for changes on the quote page. A client who wants changes replies to the email. In the client portal, a client who declines can add a reason. See What your client sees.
What happens when they answer
- The quote moves to Accepted or Declined. Its History shows who answered and when.
- You get a notification. It goes to the deal's owner, else the person who made the quote, else the workspace's owners and admins.
- When a new quote is accepted, Spodus sets up the work: it marks the deal won and, depending on the quote, makes a project, a contract, milestones and a draft deposit invoice. See Quote to invoice.
When the link stops working
- The link works for 60 days. After that, the page says it has expired and asks the client to reply to your email.
- After the quote's expiry date, the client can read it but can no longer accept it from the link.
