Close out a project
Mark a project Completed, then in one step draft the final invoice, close its open tasks and add a task to ask the client for feedback.
When a project is done, set its status to Completed. Spodus then asks what should happen next, so you can bill what's left, tidy up its tasks and ask the client for feedback in one go.
Things to know
- The window opens when a project moves into a done status, from the project page, the board or the table.
- It opens once per project per session. If you close it, moving the project back and forth won't bring it back until you reload.
- Spodus only offers what applies. With nothing left to bill, there is no invoice option. Options for modules that are off don't show.
- Nothing is emailed to the client. The feedback option creates a task for your team.
Close out a project
- Open the project.
- Set Status to Completed.
- A window opens and asks What should happen next? Pick what to do:
- Send the final invoice: a draft invoice for what's left to bill.
- Bill the unbilled hours: shown instead on an hourly project. It opens a draft with the unbilled hours ready to pick.
- Close its open tasks: marks every open task on the project as done.
- Ask the client for feedback: adds a task for the project's owner, due in 2 days.
- Click the button at the bottom, such as Do these. Or click Not now to skip.
Any invoice opens as a draft. Check it before you send it.
What the final invoice covers
It depends on the project's Billing:
- Fixed fee: the next milestone with an amount that hasn't been billed. With no such milestone, the budget minus what's already been invoiced.
- Retainer with a Contract: the contract's fee.
- Time and materials, or no billing set: the project's unbilled hours.
