Change quotes
Quote a new fee, more hours, a later end date or extra work on an existing contract, get it approved first if you need to, and apply it when accepted.
A change quote asks a client to agree to a change on a contract they already have: a new fee, more included hours, a new end date, or one-off extra work. When they accept, the contract takes the new terms.
Before you start
- The contract exists and has its Company set. See Contracts and retainers.
Create a change quote
- Open the contract and click the Change quotes tab.
- Click Request change. A draft quote opens, set to Change to a contract and linked to the contract.
- In the panel on the right, under New terms, fill in only what changes: New fee, New included hours or New end date. Leave the rest as No change. The panel shows the contract's current terms under them.
- Tick Prorate this period to charge the new fee for the rest of this period. Otherwise a new fee starts next period. Whole-term contracts change at once.
- Add lines for one-off extra work. They bill once, on the client's next invoice.
You can also turn any new quote into a change quote: choose Change to a contract at the top of its panel and pick the contract.
Send it
Click Send quote and send it like any quote. See Send a quote. A change quote needs its contract, and at least one line or one new term.
Get approval before sending
On the Growth plan, you can make change quotes wait for approval. In Revenue settings, under Change quotes, turn on Change quotes need approval before sending.
Then a draft change quote shows Request approval where Send quote would be:
- Click Request approval.
- Pick the Approver and click Request approval.
- The request goes to the approver. Once they approve, Send quote appears. If they decline, the quote moves to Declined.
While you wait, you can click Withdraw to take the request back.
When the client accepts
- The contract takes the new terms.
- The one-off lines go on the client's next invoice.
- If a change quote shows Apply on the contract's Change quotes tab, its terms have not reached the contract yet. Click Apply.
