Credit notes
Credit a client for part or all of an invoice, send them the credit note, apply the credit to an open invoice, or void it if it was a mistake.
A credit note reduces what a client owes. Use one to correct a sent invoice, give money back after the fact, or hold credit for the client's next invoice.
Things to know
- Credit notes are numbered when you create them, starting
CN-0001. - A credit note's statuses are Draft, Open, Applied and Void. It becomes Open when you send it and Applied once all of its credit is used.
- When a payment is more than the invoices it covers, Spodus makes an open credit note for the difference. See Record a payment.
- To see every credit note, go to Revenue > Reports and open the Credit notes tab.
Create a credit note from an invoice
- Open the invoice. It must be sent, not a draft or void.
- Click Credit note. On an unpaid invoice it is in the Credits section on the right. On a paid invoice it is at the top.
- A draft credit note opens with the same client and currency, linked to the invoice. Click Add line and enter what you are crediting.
- Add Notes if you want to explain the credit.
Changes save a moment after you stop typing.
Send the credit note
- On the draft, click Send.
- Check To, Subject and Message, then click Send.
The credit note moves to Open. It needs a client, at least one line, an amount on every line and a total above zero before it can be sent.
Apply the credit to an invoice
- Open the credit note and click Apply to invoice.
- Under Apply to invoice, pick one of the client's open invoices. Available credit shows what is left.
- Change the Amount to apply if you don't want to use it all. It can't be more than the credit left or the invoice balance.
- Click Apply credit.
You can also start from the invoice: its Credits section lists the client's open credit notes, each with Apply.
The invoice's balance goes down by that amount. If credit is left over, the credit note stays Open for later.
Void a credit note
Open the credit note, click the More menu (⋯) and choose Void. The number stays taken, and any credit it applied comes back off the invoice.
