Bill unbilled work
Turn billable hours and expenses into invoice lines, by hand on a draft invoice or on your billing day, when Spodus drafts one invoice per client.
Unbilled work is billable time and expenses for a client that are not on an invoice yet. You can add them to a draft invoice yourself, or let Spodus gather them on your billing day.
Before you start
- Time is logged against the client's projects with Billable on. See Track time.
- Expenses are marked Billable and have a company or project. See Track expenses.
- Hours need a bill rate to be priced: the entry's, the project's or the member's. See Tax rates and services.
Add unbilled work to a draft invoice
- Open a draft invoice and set its Client.
- If the client has unbilled work, an amber note in the panel says how much. Click Add it, or click Add unbilled work under the lines.
- Choose how to Itemize: Per task, Per person or One line per project.
- Tick the hours and expenses to bill. Each row shows its hours and amount.
- Click Add with the number of lines, for example Add 3 lines.
The lines are added to the invoice, and those hours and expenses are marked as billed on it.
Let the billing day do it
Once an admin picks a billing day in Revenue settings, Spodus makes one draft invoice per client on that day. Each draft gathers:
- this period's contract fee, billed in advance
- last period's hours over the contract's allowance
- accepted change quotes
- billable hours and expenses that no contract covers
The drafts wait under Invoices > Drafts for you to review and send. A client whose company has Auto-send invoices ticked gets theirs emailed on the day. See Set up Revenue.
Things to know
- Rows with no rate show No rate and can't be added. Give the member or project a rate first.
- Work dated before the billing day was chosen is listed under Older work. The billing day never gathers it, so bill it from a draft.
- If you void or delete an invoice, its hours and expenses go back to unbilled.
- An invoice in another currency converts the amounts at its exchange rate.
