AutomationsUpdated
Your first automation
Create your first automation from a recipe, such as a won deal that starts a project, or from blank. Then test it and switch it on.
An automation has a trigger (what starts it) and steps (what it does). Once it is live, Spodus runs it on its servers every time the trigger happens, whether or not anyone has the app open.
Before you start
- Only workspace admins can create and change automations. Members can open one to read it, but not edit it.
Things to know
How many automations you can have, and how many times they can run a month, depends on your plan:
| Plan | Automations | Runs a month |
|---|---|---|
| Free | 1 | 200 |
| Starter | 50 | 20,000 |
| Growth | 250 | 100,000 |
Workspaces still on their trial have no limit.
- Runs reset at midnight UTC on the 1st of each month. When a workspace uses all its runs, automations stop until the next month.
- At your plan's limit, Spodus does not create a new automation. It says how many your plan includes, with a link to See plans.
- A new automation is a draft. Nothing runs until you switch it on.
Start from a recipe
When you have no automations yet, the Automations page offers a few recipes under Or start from a recipe. A recipe shows only when the records it uses are turned on in your workspace.
- Go to More > Automations.
- Under Or start from a recipe, click When a deal is won, create a project.
- The automation opens in the builder as a draft, named "Start a project when a deal is won". It runs when a deal's stage changes to your won stage, and creates a project linked to the deal and its company, with the deal's name and owner.
- Read it through. Click any part of the sentence to change it.
- Click Activate to switch it on.
The other recipes create a follow-up task when a lead comes in, notify a task's assignee when it is overdue, and notify you when an invoice is overdue.
Start from blank
- Go to More > Automations.
- Click New automation. A new automation called "Untitled automation" opens in the builder.
- Click the name at the top and type a new one.
- Click the trigger in the sentence and choose what starts it. See Triggers.
- Click Add the first step and choose what it does. See Actions and conditions.
Test and switch it on
- Click Test. If the trigger watches a type of record, pick one of the newest records from the menu. A test makes real changes to that record. It skips Wait steps and doesn't enroll anyone in a sequence.
- Check the result on the Runs tab.
- Click Activate. The automation needs a name first. If a blank is still empty, Spodus highlights it and asks you to fill it in.
You can also switch an automation on or off with the switch in the Status column of the Automations list.
