Send an invoice
Create an invoice by hand, from a won deal or from a project, email it to your client, and change or void it after it has gone out.
An invoice asks your client to pay. You can start one from the Invoices list, a company, a won deal or a project, then email it from its page.
Before you start
- Revenue must be on, and your company details set. See Set up Revenue.
- To send by email, your role must allow sending email.
Things to know
- New invoice makes a draft and opens it. Changes save a moment after you stop typing.
- A draft invoice has no number. It takes the next number, such as
INV-0001, when you send it. - A new invoice starts on Net 30 terms, with its due date set from the issue date.
- An invoice's statuses are Draft, Sent, Partial, Paid, Overdue and Void. Spodus sets Partial, Paid and Overdue from payments and the due date.
- A paid or void invoice can't be edited. To correct one, issue a credit note.
Start an invoice
Pick the door that fits:
- By hand: go to Revenue > Invoices and click New invoice.
- For a client: on a company's page, click New invoice.
- From a won deal: when you move a deal to won, a window asks what's next. Tick the invoice option and click Make invoice. If the deal has a quote, the invoice follows the quote.
- From a project: on the project's page, open the More menu (⋯) and choose New invoice. To bill one milestone, choose Create invoice on that milestone.
- From logged hours and expenses: see Bill unbilled work.
Then, on the draft:
- In the panel on the right, check the Client, Project, Issue date, Due date, Currency and Terms.
- Click Add line, or Add service to add a line from your price list.
- Pick a tax rate for each line in the Tax column.
Send it
- Click Send invoice.
- Check To, Subject and Message. To is filled in when Spodus finds an email for the client. Leave Subject empty to use the standard one with the new number.
- Leave the link box ticked so the email links to the invoice. The client can read and download it there. They can't pay online through it.
- Click Send.
The invoice moves to Sent and takes its number. The link works for 60 days. To print or save a PDF yourself, click PDF.
Spodus says what is missing before it sends. An invoice needs a client, at least one line, an amount on every line, a total above zero, and a due date on or after the issue date.
Change or void a sent invoice
- To edit it, click Edit. Spodus warns you once that the client's copy won't match.
- To cancel it, click the More menu (⋯) and choose Void. The number stays taken, and payments on it are released.
- To start again from a copy, choose Duplicate from the same menu.
