Time-block your week
Drag tasks from the calendar's sidebar onto an hour to block time for them, sized to the task's estimate, so your week shows when the work gets done.
Plan when you'll do your tasks by dragging them onto your calendar. Each one becomes a block of focus time, linked to the task.
Things to know
- The block is as long as the task's Estimate. If the task has no estimate, it uses your Default event duration (1 hour unless you change it). A block is at least 15 minutes and ends by midnight.
- The block is its own event, shown as busy. Its title is "Work on" followed by the task's name. You can change "Work on" in the settings below.
- If the task had no due date, it gets the day you dropped it on. An existing due date doesn't change.
- Dropping a task on a day in the month view, or on the all-day row, only sets its due date. It doesn't block time.
Block time for a task
- Click Calendar on the rail and switch to Day or Week.
- Find the task in the sidebar on the left, for example under Today & overdue or Assigned to me. Click a section's name to open it.
- Drag it onto the hour you want to work on it.
You see Time blocked for and the task's name. Click the block to open it. It links back to the task.
To move a block, drag it to another time.
Show more tasks in the sidebar
Priorities (your high and urgent tasks) and Backlog (tasks with no due date) are off at first.
- In the calendar, click the gear icon and choose Calendar settings….
- Click Sidebar.
- Turn on the sections you want and use the arrows to put them in order.
Change how time blocks work
- Open Calendar settings… and click Time blocking.
- Set any of:
- Time block prefix: the words before a task's name. Leave it empty for the name alone.
- Show tasks with a due date: show tasks on the day they're due.
- Show done tasks: keep finished tasks on the calendar.
- Work schedule: your working hours, used to dim the rest of the day.
