Export to accounting
Download a month of invoices and credit notes as a CSV that imports into Xero, or maps into QuickBooks Online, and hand it to your accountant.
The accounting export gives you one file with a month's invoices and credit notes, ready for your accounting software or your accountant. It is a download, not a live connection.
Before you start
- The export is on the Starter and Growth plans. On Free, the tab doesn't show.
- Revenue must be on. See Set up Revenue.
Things to know
- The file is a CSV in the column set of Xero's Import customer invoices. Xero imports it as it is.
- QuickBooks Online takes the same file through its own import, where you match the columns once. QuickBooks has no bulk import for credit notes, so enter those by hand there.
- Each row is one document, not its lines. Amounts are net of tax.
- No tax code or account code is written. Assign them in your accounting software after import.
- Drafts are never exported. A document Spodus leaves out is listed under Not included, with the reason.
Export a month
- Go to Revenue > Overview and click the gear.
- Click the Accounting export tab.
- Pick the month under Period. You can go back 24 months.
- Check the list under Ready to export. Each row shows the Document, Number, Client, Issued date, amount Net of tax and when it was Last exported.
- Untick anything you don't want in the file.
- Click Export. The CSV downloads.
Exported documents show a Synced tag on their page, with when.
Export a month again
Documents exported before start unticked, so a second click doesn't send the same month twice. Tick them to include them again. New documents start ticked.
If the month has more documents than Spodus has loaded, it says the month can't be exported yet. Click Load more, then export.
