Set up Revenue
Turn on Revenue, add the company details your clients see, set document numbers, choose a billing day and learn how payment terms work.
Revenue is where you quote, invoice and get paid. Set it up once before you send your first quote or invoice.
Before you start
- Revenue is a module, and it starts switched off. An admin turns it on in Settings > Data model. See Turn modules on and off.
- Some settings are for admins only: the logo, the billing day, and emails sent to clients on their own.
Open Revenue settings
Do either of these:
- Go to Revenue > Overview and click the gear at the top right.
- Open Settings from your account menu. Under Modules, click Revenue.
Revenue settings has three tabs: General, Rates & tax and Accounting export. Accounting export shows on the Starter and Growth plans only.
Add your company details
On the General tab, under Company details, fill in the Company name, Tax ID, Billing email, Phone, Website and address. These details print on your quotes, invoices, credit notes and their PDFs. Changes save as you type.
Set document numbers
Under Document numbering, each document type has a Prefix and a Next number. Click either one to change it.
- The prefixes start as
INV-for invoices,EST-for quotes andCN-for credit notes. - Quotes and credit notes take their number when you create them. An invoice takes its number when you send it, so a deleted draft leaves no gap.
- Numbers never reuse a value already issued. If you set Next below a number in use, Spodus skips past it.
Choose a billing day
The billing day is the day each client's open work is gathered into one draft invoice. Nothing is chosen at first.
- Under Billing day, click Choose a day.
- Pick a day of the month, Last day of the month or Each contract's start date.
- The first time, confirm with Start billing.
From then on, every Active contract is drafted on that day. Drafts wait for you to review them before anything is sent. Work dated before you chose the day is not drafted on its own. You can set a different day on a company with its Billing day field.
Payment terms
Each quote and invoice has a Terms field: Due on receipt, Net 15, Net 30 or Net 60. A new document starts on Net 30. Change the terms on a document and its due date moves to match.
