Record a payment
Record money a client paid, spread one payment across their open invoices, send a receipt, and handle overpayments and mistakes.
When a client pays, record the payment so their invoices show what is still owed. One payment can cover several invoices.
Before you start
- The client needs at least one sent invoice with money still owed. Drafts, paid and void invoices can't take a payment.
Things to know
- Spodus records payments you receive outside the app, such as a bank transfer or a check. It does not take card payments from your clients.
- Each payment gets a reference, starting
PMT-0001. - If the payment is more than the invoices you apply it to, the rest becomes an open credit note for that client. An invoice balance never goes below zero.
- A fully paid invoice moves to Paid. A part-paid one shows Partial.
- If the invoice came from a deal, paying it in full moves that deal to won, unless it is already won or lost.
- If an admin has turned on Payment receipts in Revenue settings, the client is emailed a receipt with the amount received and what is still owed.
Record a payment from the Payments list
- Go to Revenue > Payments and click New payment.
- The Record a payment panel lists every client with an open invoice. Click the client who paid, or search for them.
- Enter the Amount received, set the Payment date (it starts as today), and pick the Method: Bank transfer, Card, Cash or Check.
- Spodus applies the amount to the oldest invoices first. To split it differently, change the amounts in the Apply column. Click Auto-apply oldest first to go back to the automatic split.
- Click Record payment.
Record a payment from an invoice
- Open the invoice.
- In the balance box on the right, click Record payment.
- Fill in the amount, date and method. The amount goes to this invoice first, then the oldest others. Auto-apply: this invoice, then oldest resets the split.
- Click Record payment.
The invoice's Payments section lists each payment against it.
Undo a payment
Delete the payment from Revenue > Payments. Spodus takes it back off every invoice it was applied to, so their balances and statuses go back to what they were. An overpayment credit note that has not been used yet is voided.
