Quote to invoice
When a client says yes outside Spodus, mark the quote accepted, check what it sets up, and send the deposit invoice it drafts for you.
When a client accepts a quote, Spodus sets up the work and drafts the first invoice for you. If they accepted on the quote link, this has already happened. If they said yes by phone or email, mark the quote accepted yourself.
Things to know
- Mark accepted shows on a quote that is Draft or Sent.
- Marking a quote accepted runs the same set-up as the client accepting on the link.
- What it makes depends on the quote: see Quote payment terms.
- Only records you're allowed to create, in modules that are on, are made.
Mark a quote accepted
- Open the quote's full page.
- Click Mark accepted.
- Read the list of what will be set up. It can include Deal won, a Project, an Active contract, a Milestone for each dated or milestone payment, and a Draft deposit invoice.
- Click Mark accepted.
The quote moves to Accepted, and a message says how many things were set up.
Send the invoice
The deposit invoice is a draft, so nothing goes to the client until you send it.
- Go to Revenue > Invoices and open the Drafts view. You can also click Drafts to review on the Revenue overview.
- Open the deposit invoice and check it.
- Click Send invoice. See Send an invoice.
With no payment terms on the quote, the deposit invoice is for the whole one-time total. Payments due on a date or a milestone are billed when the milestone is marked done. Monthly, quarterly and yearly lines bill through the contract.
Convert to invoice
An accepted quote that was not set up this way shows Convert to invoice instead. Click it to make a draft invoice with the quote's client, one-time lines, notes, terms and currency. Spodus tells you first if any recurring or hourly lines are left out, since those bill through a contract or tracked time. The quote then moves to Invoiced.
