Create a sequence
Write a sequence of emails sent from your own mailbox, days apart, personalize them with variables, check them in Preview and publish the sequence.
A sequence is a few emails sent from your own mailbox, days apart. It stops for each person the moment they reply.
Before you start
- Sequences are on the Starter and Growth plans. Workspaces still on their trial have them too.
- Your role needs permission to send email. Without it you can read sequences but not create or change them.
- Connect your mailbox in Settings > Accounts. You can write and publish without one, but you need one to enroll people. See Connect your email.
Things to know
- Starter allows 3 active sequences at once, and Growth allows 50. Drafts, disabled and archived sequences don't count.
- A sequence can have up to 20 emails.
- The first email can go as soon as someone is enrolled. Each later email waits at least 1 day after the one before, and no more than 365 days.
- Your draft saves as you type. Nothing sends until you publish and enroll people.
Write the emails
- Go to More > Sequences.
- Click New sequence. A draft called "Untitled sequence" opens on its first email.
- Click the name in the page bar to rename it.
- Write a Subject and the email text. The toolbar has bold, italic, underline, lists, links and images. Click Attach file to add an attachment.
- Click Add email to add the next one. Click the wait above it to change how many days it waits after the last email.
- Use an email's ⋯ menu to Move up, Move down, Duplicate or delete it.
When Send follow-ups as replies is on (the default), a later email with no subject goes in the same thread as the first, with "Re:" and the first email's subject.
Personalize with variables
Type { in the text, or click Insert variable in the toolbar, and pick a variable:
| Group | Variables |
|---|---|
| Recipient | First name, Last name, Full name, Email, Job title |
| Company | Company name |
| Sender | Sender first name, Sender full name |
Click a variable in the text to set If empty, use: the words to send when the person has no value. If you leave it empty and the value is missing, that person's email is held and they are paused.
You can also add an Ask Spodus variable from the same menu. Write what Ask Spodus should write in What should Ask Spodus write?. It writes the line for each person when they're enrolled, and you can read and edit it before it sends.
Preview and publish
- Click Preview and choose a contact to see each email with their details filled in.
- Click Next: Sending to check the sending settings. See Sending settings.
- Click Next: Review. Anything you must fix is listed under Fix before publishing, with a button that takes you to it.
- Click Publish sequence. Then enroll people, or click Not now.
Change a live sequence
Edits to a live sequence show as Unpublished changes. Click Publish to make them live. People already enrolled keep the version they started on, and new recipients get the new one. To drop your edits, choose Discard changes from Sequence actions (⋯).
From the same menu you can Duplicate, Disable, Enable or Archive the sequence. When you archive a sequence that still has people in it, choose Archive, keep them waiting or Archive and remove them.
