Quote payment terms
Split what a client pays for a quote into a deposit, dated payments and milestone payments, and start a project when the quote is accepted.
Payment terms on a quote say when the client pays for the one-time work: all at once, or in parts. When the quote is accepted, Spodus turns each part into a draft invoice or a milestone.
Things to know
- Payment terms cover the quote's one-time lines only, after the discount and with tax. Monthly, quarterly and yearly lines become a contract. Per hour lines bill through tracked time.
- With no payment terms, the client pays everything on acceptance.
- Payment terms are on new quotes only, not on change quotes.
- Each part shows what the client pays for it. If the parts don't add up to 100%, a warning says so.
Add payment terms
- Open a draft quote.
- In the panel on the right, under Payment terms, click Add payment.
- Name the part, for example Deposit, and type its percent.
- Choose when it is due:
- On acceptance: the client pays this part when they accept.
- On date: pick the date under Due on.
- On milestone: type the milestone's name.
- Add more parts until they add up to 100%. A new part starts with what is left.
To take a part away, click the cross beside it.
What accepting sets up
When the client accepts, or you click Mark accepted:
- Each On acceptance part becomes a draft deposit invoice. It waits under Invoices > Drafts for you to check and send.
- Each On date or On milestone part becomes a milestone with that amount. Marking the milestone done drafts its invoice.
- Monthly, quarterly and yearly lines become one active contract.
Start a project on acceptance
Start a project when accepted is ticked on every new quote. When the quote is accepted, Spodus makes a project for the client. Its budget is the quote's one-time total. Untick it if the work doesn't need a project.
