Team access
Give a team view or edit access to the modules it works in, choose every record or only their own, and pick the people who get it.
Team access lets you give a whole team the modules it works in. For example, your finance team can edit everything in Revenue without changing each person's role.
Before you start
- You need to be an owner or admin.
- The team must exist first. Create it in Team > Teams. See Teams.
Things to know
- Team access only adds. Each person keeps what their own role allows, and gains what their teams give them. It never takes anything away.
- Someone with no role of their own starts from the default role.
- Admins always see everything.
- Edit lets people change records and move them to the trash. Deleting for good stays with each person's own role.
- Adding someone to a team on the team's page does not give them its access. Only the list on the Team access page does.
- Every change saves as you make it.
The modules you can set
| Module | What it covers |
|---|---|
| CRM | Contacts, companies, deals and leads |
| Revenue | Quotes, invoices, payments, credit notes, contracts, expenses |
| Support | Tickets, macros and help articles |
| Projects | Projects and milestones |
| Time | Time entries |
| Team | People, teams, time off, reviews and bookings |
Set what a team can open
- Open your account menu and click Settings.
- Under Workspace, click Team access. Each team shows what it can open and how many people have its access.
- Click a team.
- In the list of modules, pick No access, View or Edit for each one.
- Under Which records, pick Every record or Only their own. Only their own means the records they own or are assigned.
Choose who gets the access
- On the team's page in Team access, click Add person.
- Pick a person. People in the team who have a login are listed first.
- To take someone off, click the remove icon at the end of their row.
If people in the team don't have its access yet, a line under the list says so. Click Add all (or Add them for one person) to add them at once.
